Horticultural Coordinator

Reporting to the Director of Horticulture, the Horticultural Coordinator supports the Horticulture staff to ensure maintenance of the collection, facilitate acquisition and document Wave Hill’s plant collection. In addition, this position coordinates communication between staff, Friends of Horticulture (FOH) Committee members, funders and others involved in planting, interpreting, and supporting the gardens at Wave Hill.

Primary Responsibilities:

  • Perform all administrative functions to support the Director and Associate Director, such as filing, scanning documents, data entry, using Altru to schedule meetings, administration of plant purchases, supplies and uniforms for Horticulture Department.
  • Budget-related responsibilities include, but are not limited to, completing invoices, processing check requests, updating budget sheets
  • Generate all written correspondence for the Department of Horticulture as required.
  • Deliver promotional text and image content to marketing department; provide content for the lecture series, document discussion on lecture topics and follow up as required; keep records of past lectures.
  • Working closely with the Director and Associate Director of Horticulture, Philanthropy team, and FOH Committee to provide support for the Gardeners’ Party including outreach to speakers and play a key role in overseeing the party’s auction. Responsibilities for the auction include securing and tracking auction items, drafting descriptions, coordinating images and photos, and overseeing delivery both to Wave Hill and to the auction winners. Support the Philanthropy team with data entry, tracking, and generating thank you letters as needed.
  • Assist with recruitment and orientation for new FOH members in coordination with and support of the Chair of FOH and Director of Horticulture.
  • Liaison with FOH.
  • Schedule and coordinate all FOH committee meetings which include taking and distributing meeting minutes; sending notice of meetings and taking RSVPs; arranging for refreshments and parking reservations/courtesy carts if required.
  • Work with the Senior Horticultural Interpreter to generate plant label with a laser engraver.
  • Support and develop resources for the John Nally Internship.
  • Support plant records and associated database with updates working with the Senior Horticultural Interpreter, for new acquisitions and changes made in the garden.
  • Assist with horticultural grant proposals, estimated quotes, writing and reporting. Support the Department of Philanthropy and Engagement in the research of potential grants and donors.
  • Liaison with outside gardening community.
  • Assist Horticulture Department as needed and/or other related duties.

Physical Requirements:

  • Lifting up to 30 lbs.


  • At least 1-2 years of administrative experience
  • Knowledge of Gardening and the Horticultural community required
  • Proficiency with Microsoft Office Suite and content management system (CMS) database, knowledge of Altru databases is a plus
  • Excellent communication and writing skills
  • Must be well organized, detail-oriented, team-oriented, self-motivated,
  • Must be fully vaccinated

Salary Range: $21K- 23K based on candidate’s experience. This is a part-time 3-day/21 hours a week position with excellent benefits.
