Event Operations Support (Hourly)

Providing critical operational support to execute programs and special events

The temporary, part-time Event Operations Support position provides critical operational assistance for the successful coordination and execution of programs and special events. In addition to assisting in the preparation of programs, the position provides onsite event support and acts as an on-site liaison for vendors and partners. The position reports to both the Philanthropy & Engagement and Public Programs departments.

Role and Responsibilities:

Event Operations 

  • Execute operational plans for seasonal events, public programs, and special events, ensuring all logistics are delivered accurately and on schedule.
  • Assist in preparing and maintaining event operations documents, including event timelines, run-of-show schedules, setup and breakdown plans, logistics checklists, invoices, and site maps.
  • Work collaboratively with other departments to coordinate successful event operations.
  • Participate in planning meetings and site walkthroughs as needed.  

Logistics Coordination 

  • Serve as the on-site operational liaison for vendors, contractors, and other partners during assigned events, ensuring activities align with approved schedules, guidelines and safety protocols.
  • Manage event-day logistics and communications, including vendor arrivals, deliveries, staging, and real-time coordination with internal teams and partners.
  • Anticipate and troubleshoot logistical challenges before and during events, escalating issues as appropriate. 

On-Site Event Support 

  • Coordinate and execute all aspects of event setup and breakdown, including signage, equipment, furniture, and site preparation, while monitoring operational readiness throughout event execution.
  • Maintain a visible on-site presence during events, serving as a point of contact for operational questions and immediate needs.
  • Support crowd flow, accessibility accommodations, weather contingencies, and other event-day operational requirements.
  • Ensure all event spaces, equipment, and materials are properly secured, stored, and restored following events.  

Requirements: 

  • High school diploma or equivalent; bachelor's or associate degree preferred.
  • 1-2 years’ experience supporting and/or managing events or programs, preferably for a nonprofit or cultural institution.
  • Ability to interact amiably and effectively with staff, instructors, volunteers, program participants, vendors and contractors, and the public.
  • Proficiency in Microsoft Office applications and project management tools.
  • Self-motivated, enthusiastic, organized, attentive to details, and the ability to manage time and effectively function without close supervision.
  • Outstanding communication skills and comfortable managing multiple concurrent projects.
  • Ability to lift 30 pounds, stand for extended periods of time, and walk over rugged terrain.
  • Flexible schedule with weekend and some evening availability. 

Salary  

The salary range is $25-30 per hour.
