Philanthropy & Engagement Coordinator (Membership & Data)

The Philanthropy & Engagement Coordinator manages the day-to-day execution of membership services and database operations, ensuring accurate gift entry, high-quality customer service, and reliable reporting. Reporting to the Associate Director of Philanthropy, the Coordinator follows established procedures and best practices to support the Philanthropy & Engagement team’s mission.

Membership Operations
- Coordinate and implement Membership activities, including renewals, promotions, acknowledgements, stewardship, and benefit fulfillment.
- Serve as primary point of contact for Members within the Philanthropy & Engagement team. Deliver a high level of customer service via phone and email in a timely manner.
- Collaborate with Visitor Services to ensure data integrity, adherence to procedures, an exceptional Member experience onsite, and increased membership conversion.
- Be present on peak days and special events to sell Memberships and assist Members.
Gift and Entry and Data Hygiene
- Manage day-to-day gift entry, memberships, pledges, and event participation in Altru.
- Enter gifts daily across all channels; generate tax receipts and acknowledgment letters within established timelines.
- Track pledges, tributes, recognition, and gift credits.
- Maintain data integrity and support improved record hygiene by resolving duplicate records, correcting constituent information, updating contacts, and following data entry standards.
- Complete regular audits and data cleanup projects.
- Provide training and support for Altru.
Database Operations
- Create segments for communications, appeals, and events and prepare lists for use across multiple platforms.
- Generate reports and lists related to membership, audits, cultivation/stewardship, promotions, renewals, prospecting, and pledges. Coordinate review with team members.
- Maintain prospect management system and portfolio structure.
- Coordinate Philanthropy & Engagement activities within Altru, including room reservations and events.
- Coordinate with the Finance team to ensure consistency between financial and fundraising records, including reconciliation and audit documentation.
Perform related Philanthropy & Engagement duties as needed, including day-of event support, mailings, and other tasks.
Qualifications
- 2–4 years nonprofit membership or database experience
- Working knowledge of Altru or similar CRM
- Excellent customer service skills
- Strong attention to detail and accuracy
- Demonstrates ability to work independently and collaboratively across teams
- Ability to manage priorities and deadlines independently
Schedule and Salary
- Full-time, non-exempt position, annual salary is $60,000.
- Monday – Friday with the flexibility to work evenings and weekends when needed.
