Visitor Services Coordinator

Supporting Visitor Services operations

The Visitor Services Coordinator role involves welcoming Wave Hill members and visitors, providing seasonal information, and answering general visitor questions. The Visitor Service Coordinator, with excellent hospitality and interpersonal skills, would create a memorable experience for our members and visitors. Reporting to the Manager of Visitor Experience, the Visitor Services Coordinator supports all Visitor Service operations in the landmark Wave Hill House.

Primary Responsibilities and Duties

  • Provide information on hours, programs, tickets, and membership to visitors either in person or over the telephone. Processes new or renewal memberships as necessary.
  • Stay up to date on all Wave Hill policies, programs, and events; assists visitors with purchasing tickets or registering for programs as necessary.
  • Oversee the information@wavehill.org email account, responding to visitor inquiries and forwarding to appropriate departments
  • Responsible for gathering and maintaining accurate visitation statistics for the garden on a monthly basis.
  • Oversees VS supply inventory for general departmental office supplies including first aid kits for the garden. Alerts the manager when supplies need to be ordered and handles after budgetary approval.
  • Lend out table clothes for Wave Hill events and manages the dry cleaning schedule.
  • Accepts and signs for incoming package deliveries and alerts the security department for delivery to recipients.
  • Creates internal signage as needed to enhance visitor experience and safety. Responsible for maintaining the sign library for future use.
  • Cover Visitor Center desk and Front Gate greeter as needed
  • Trains covering greeters on reception desk protocols
  • Update visitor services binder and FAQ factsheet to assist in providing visitor information.
  • Handles additional interdepartmental work as needed during during slow times.
  • Additional related duties as needed.

Requirements and Qualifications

  • Demonstrated experience with customer service or hospitality
  • Minimum of 3 years administrative experience
  • Excellent interpersonal and communication skills, both written and verbal
  • Knowledge of POS/ticketing systems and constituent databases a plus; knowledge of Microsoft Office
  • Must be able to work in a collaborative team environment, but also independently as needed
  • Flexible schedule with the ability to work weekends and holidays

Schedule, Salary and Benefits

Four-day work week, 28 hours a week, Thursday through Sunday 9-5. Holidays and evenings on occasion to support garden operations.

Annual Salary is $28,800. Benefits include health, dental and vision insurance; 401k savings plan, defined benefit pension plan, life insurance, and paid time off.

The hiring salary range is dependent on the scope of work and responsibilities of the position. Salaries offered to candidates are based on numerous factors, including, but not limited to, the candidate's experience, skills, training and certifications, education, and other factors in addition to the scope of responsibilities of the specific position.
