Registrar/Education Assistant

Reporting to the Director of Education, the Registrar/Education Assistant serves as the main point of contact for all Education inquiries, maintaining the departmental calendar and overseeing the reservation process for all school and camp visits. The position works closely with program managers to ensure successful planning, execution and post-program reporting for all education programs, including the Family Art Project, school and camp field trips and youth development internships. 

The ideal candidate must possess excellent communication and customer service skills, a welcoming and outgoing demeanor, and the ability to juggle multiple and diverse assignments in a fast-paced environment.

Responsibilities

  • Provide general administrative duties for the Director such as making room reservations, and coordinating catering and technology needs and expenses
  • Under the supervision of the Director of Education supports key departmental projects such as benchmarking programmatic costs, digitalizing and archiving departmental documents and researching to inform our outreach to school communities, families and youth.
  • Respond to all departmental inquiries about reservations, programs and internships via the education and school program email accounts
  • Ensure Education’s programs are accurate and process payments using our reservation system
  • Use Altru to update and maintain department’s databases, and build and utilize queries
  • Provide the department with monthly reports and quarterly statistics on educational programs
  • Coordinate with managers the ordering of department supplies and track expenses and inventory
  • Process and track department expenses including check requests, and maintain an updated department ledger
  • Schedule all school field trips and oversees the general education calendar to reduce under or overbooking of programs.
  • Greets self-guided school groups and review Wave Hill’s policies with them
  • Related duties as needed.

Requirements

  • Bachelor’s degree (or Associate’s Degree plus commensurate experience)
  • 1 to 2 years’ experience in an office environment
  • Ability to handle multiple projects and fulfill a high volume of incoming requests, phone calls and emails, related to a variety of departmental
  • Welcoming, warm personality and superior customer service skills
  • Excellent verbal and written communication and ability to converse with audiences of all ages
  • Experience at a cultural institution and/or interest in the education field a plus
  • Proficient in Microsoft Office Suite and experience using Altru or other CRM/ticketing and membership database
  • Able to work successfully individually and as a member of a team  
  • Strong organizational and time management skills

Schedule, Salary and Benefits

This position is subject to a collective bargaining agreement.

  • Schedule: This is a full-time position Monday through Friday, 8:30am to 4pm. This position requires some weekends and occasional evening work, as requested.
  • Salary: $46,503.00
  • Benefits: Health, dental and vision insurance; paid time off, 401k, pension plan and life insurance
